Tips / Tricks/ Reminders 9/1/23 edition

 

Hi all!

Another week has passed and that means another entry in the tips, tricks, and life hacks bulletin for the field!  Please see below.

  1. Who To Call List: In case you aren’t aware, there is a link on Paylocity for the Who to Call list.  HR put this resource together as a handy one-stop document that tells you who does what!  Please print this out and have it on site.  If accessing Paylocity from your computer, it’s on the main page when you log in at the bottom (Company Section).  If viewing on your phone, it’s under the menu, under Company Links.
  2. Incident Reports: Changes coming in the future, but for now please make sure that when you are requesting a check for an approved estimate for damages, that you send Isabel the following items in an email, preferably in PDF format:
    1. Fully completed and signed check request form
    2. The incident report, front and back page
    3. All collected estimates, in full.  I have to provide the full document.
    4. Be sure you are saving, for ALL damage incidents whether we are liable or not – PHOTOS and VIDEO clips of the incident.  Video being saved is even more important for claims we reject!
  3. More of a FYI than a tip – please take recommendations from vendors with a grain of salt and keep in mind they are a business and want to make sales!  We have a vendor that is recommending sites buy replacement parts every 30-60 days and that is excessive and will be rejected per feedback from Engineering.  When in doubt, ask your lead tech (or just plan on only buying replacement parts when they are needed/starting to break down, not just because a set time has passed or they are on sale).  Thank you!
  4. Please continue to try and only place orders as needed/once a month.  KleenRite in particular enforces a once a month order (will charge a lot for shipping if a site has to order something else in the same month).  Amazon will require 2 orders due to coding.  Please also be mindful of your inventory and purchase only what is needed.  I know there are some sites that have the luxury of more storage space than others but there’s not a need to buy just to fill up shelves.
